The Service machine form provides for generating of Vending Machine and Bill Changer services. This includes both Services (fill with product, no cash collected) and Collects (fill with product and collect the cash).
The Service Machines form provides for generating services for Vending Machines and Bill Changers that are "statically" scheduled, and for Vending Machines that are remotely monitored and thus "dynamically" scheduled. Remote monitored machines can also be statically scheduled. The static Schedules are maintained in the Asset form. The dynamically scheduled machines must have services created in this Service Machines form.
"Scheduled" machines generally refers to statically scheduled machines and bill changers. These services can be created in this form, or by logging a handheld into a route. When logging into a handheld it will generate any services that are required for the day and route specified (if they are not already generated), and download all services created for that day. The use of the Service Machines form allows for the standard schedules to added to, by selecting additional machines to be serviced on the day specified. The handheld when logged in will download the additional machines that have been selected ie those dynamic machines that need servicing , plus any additional "Scheduled" machines that need to be serviced but are not normally serviced on the day selected.
The form has 4 key areas:
Selection criteria
Select from the Region, Warehouse and Route selection fields. Multiple Routes and multiple warehouses can be reviewed at any one time.
Select the Service date for which the services are to be generated. It can be for any date both forward or back. Note the system will not generate multiple services on the same day ie you cannot generate duplicate services in error for any given day.
Service Rules
These rules relate only for vending machines that are remotely monitored as the Service rules rely on data that is returned from the monitoring updates.
Machine Full%, Cash in Machine, Machines with empty lanes are filters that select dynamic machines to service based on how full the machine is, how much cash has been collected in the machine since the last service, and whether the machine has empty lanes or not.
Machine Full% - choose the cutoff for how full the machine is, reduce the value to include machines only that are emptier
Cash in Machine - increase the value to include machines only that have more cash to collect
Machines with empty lanes - include any machine with empty lanes
The list of dynamically scheduled machines will be filtered to include those machines that are do not have a schedule as defined in the Asset form, have remote monitoring communication parameters set (refer Service tab in Asset form) fall within the above Service Rules.
Routes and Assets
Based on the Region, Warehouse and Route selection fields, the list of all routes within that criteria are listed in the leftmost pane of the form. The number of Services (Svcs) that are expected for each Route and the number of Accounts that those services related to (Acts) are listed in the grid against each Route. This enable a view of the workload for each Route on the day selected. Click on a Route to display the list of Assets for that Route in the next gird to the right.
The Asset grid displays all the Assets allocated to the Route selected in the leftmost grid. the flowing is displayed: Status Icons, Asset, Model Account, Location, Type, Full%, Sales, Restock.
Status Icons - the first column displays a Clock for Scheduled assets. the second column displays an Antenna for remote monitored machines. The third column displays a Box for Pre-kitted machines (refer Service tab in Asset form). The fourth column displays a green Tick for machine that have an existing Open Service or a yellow triangle to highlight that errord.
Asset - the list of Assets on this route. Assets to be services are in normal black text. Assets not selected for service are grayed out
Model - Model of the machine
Account, Location - the Account and Location in the Account where the Asset is installed
Type - whether the Scheduled service is to be a Service or a Collect
Full% - How full the machine was at the last communication from the machine
Sales - the dollar sales since the last restock (and hence the amount assumed to be collectable)
Restock - a check box that is defaulted to selected for machines that are scheduled to be serviced on the day selected or that are dynamically scheduled and fall within the Service Rules filter criteria. Once loaded the check box can be checked or cleared to add machines to the service list or remove them.
Asset History and Service Details
Click on any Asset in the Route Assets grid to bring up the History grid for that Asset.
For remote monitored machines this will be all the connections back to and including the last Restock. Displayed data is Date of connection, Type of connection and Sales dollars that were reported.
For scheduled machines this will be the last ten services for that Asset. Displayed data is the Service ID, the Date of service, Type of service and Sales cash that was counted (note that Services will display zero as only Collects have cash allocated to them).
Data displayed in the Details grid below is differentiated between remote monitored machines and Scheduled machines.
Remote Monitored machines will display the suggested Fill requirements based on the last communicated inventory levels in the machine and the Product service parameters as defined in the Product Parameters tab in the Asset form. It will also display any machine update actions to be undertaken during the machine service such as changing prices, changing Pars, changing Products etc . Displayed data is Action to undertake (or the Product Description for normal fills), Price, Par, and calculated Fills.
Scheduled machines will display the details of any of the services displayed in the History grid. Click on a History grid item and the details that service are displayed in the Details grid. Data displayed is Product, Price, Par, and confirmed Fills.
Actions
The following buttons can be used to invoke specific actions:
Check All - check all Asset to include for Servicing
Uncheck All - uncheck all Assets to allow specific list to be checked off manually
Service - Generate a Service for each Asset selected. internally a Service Id is created and default service data generated for item in the machine plannogram
Service/Print - create a service as per the Service button, and then print our Service cards. The Service cards will be 3 to a page for Assets with Product Group plannograms and one page per Asset for those Assets with SKU plannograms
Delete - void a Service. Sets status of Service to Non-Serviced
